Project Communications

Guideline Goal

To ensure that project team members and project stakeholders have all essential information on an ongoing basis throughout the project life cycle

Expectations - 1

• The Project Phase Manager will develop and maintain a Project Communication Plan
• This plan will be developed in conjunction with the Project Sponsor to suit the size, importance and phase of the project
• It will include the timing of reports, meetings and contacts with stakeholders

Expectations - 2

• The Project Phase Manager will facilitate the most appropriate form of communication to resolve issues or problems, or necessitated by the phase or stage of the project
• All communications will be conducted in a timely manner and on record
• Project Communications includes the timely and systematic storage and retrieval of all relevant project information (Records Management)

Particulars - 1

• Communication is the essential vehicle for informing and motivating people on the project
  • And getting the work done
• Good, timely communication is necessary to remove "road blocks" to progress
• Consistent, pre-arranged Stakeholder contact also plays a vital role in maintaining their "comfort level"

• Communication arrangements can be depicted by a Contact/Responsibility chart
  • See sample Communication Chart, next slide
• Efficient project communication is greatly facilitated by the consistent use of simple and straight forward standard forms.
